We have made 15 additional hires over the last twelve months; and we are currently making further hires across the business which will take us to 75 colleagues globally. We are looking for an exceptional team player with the ability to work collaboratively and the capacity to effectively work across numerous live events, virtual shows, DJ sets, performances and digital engagements across our two live rosters.

The candidate will have a depth of understanding of the live and popular culture landscape from current music artists, more heritage acts as well as digital influencers and celebrity names. They must have talent agency/live agency/booking agency experience and be familiar with how to complete booking forms, interacting with contracting systems and all the associated administration with advancing a live show. We have various systems that we use at Insanity that can be trained however a prior understanding of using Google Drive for document management and file sharing is quite key. The candidate will also be an exceptional team player with a drive to work collaboratively in a team and the capacity to work across various areas of the business.

Job requirements

Duties & Responsibilities

  • Be responsible for contracting an average of 80 live shows a month.
  • Chasing up contracts, then renegotiating terms and liaising with legal team
  • Ensuring legal compliance on contracts
  • Advancing shows - checking stage times, hotel details, transport
  • Knowledge on live shows - correct terminology and basic live show technical understanding
  • Being able to manage last minute changes -show cancellations, travel changes
  • Constant email management between promoters, managers, artists, brands, colleagues, talent.
  • Systems knowledge of Wrike, System One, Google Drive
  • Consistent updating of talent assets and details
  • Sending out artist assets and approving artwork
  • Social media management for Orbit and Loco instagram
  • Regularly updating company website and client rosters
  • Assist with and manage all admin needs that arise for their appointed talent managers and agents.
  • Management of managed clients calendars
  • Working on brand deals - contracts, approvals, posting schedules
  • Be responsible for raising invoice requests, approving and then chasing them and liaising with colleagues in the finance team.
  • Managing and nurturing existing client relationships and fostering new relationships with external stakeholders.
  • Demonstrating excellent document management and taking the lead on filing Scope Of Work documents and contracts, through to digital insights, job sheets and other materials relating to campaigns in Insanity’s internal database.
  • Covering for agents when off and taking on agent duties
  • Negotiating offers and fees in collaboration with agents
  • Checking cities and locations in line with changing exclusivity details
  • Sending and confirming offers over to management
  • Administrative duties for the agents - booking meetings, meeting rooms etc
  • Provide training and support to team assistant


Required:

  • Strong organisational and teamwork skills with exceptional attention to detail
  • Deep understanding of the live and music landscape
  • Must demonstrate a high quality of work performed both accurately and efficiently
  • Self-starter who is motivated and willing to learn with the ability to prioritise work and multitask over a wide range of responsibilities
  • Works well independently and has teamwork mentality
  • Demonstrated ability to think clearly and quickly under pressure in a fast-paced entertainment environment

  • Excellent interpersonal and communication skills
  • Demonstrable experience in curating emails and communication skills.

  • Competent IT abilities both with applications (Word, Microsoft, Excel, Mail, PowerPoint, Keynote) and cloud based services (Gsuite).


Working conditions

The role is usually carried out during normal business hours from the company’s head office situated in London King's Cross. On occasion, the job may require evening or weekend work, remote working or work-related travel for new business opportunities.

The typical working day will be eight hours with an hour for lunch. Start time allows for flexibility within core business hours. May offer flexible working hours at the discretion of the Directors.

The job may involve working with challenging stakeholders or clients, from time to time.
