Overview:
- The Finance Assistant is a pivotal role within Insanity as it supports the finance department by assisting with daily financial operations, including processing transactions, reconciling accounts, and preparing reports.
- This role ensures that the finance team can focus on strategic initiatives by handling essential tasks such as managing accounts payable and receivable, organising records, and maintaining data accuracy.
- Supported by a collaborative finance team, the Finance Assistant will work alongside experienced professionals, with a strong emphasis on shared learning and skill development.
- Adaptability is essential, as team members may require support across various communication methods, including email, messaging apps, in-person interactions, or virtual meetings.
- This position aims to provide a high standard of financial support within Insanity, emphasising practical and efficient solutions.
Job requirements
Key Responsibilities:
- Generating and Issuing Invoices: Create and send invoices using finance softwares (Wrike Project Management, Xero and Arrange It), ensuring accuracy and timely distribution.
- Managing Credit Control: Monitor outstanding invoices, follow up on overdue payments, and use assertiveness to ensure timely collections.
- Payment Reconciliation: Reconcile payments in accounting software Xero, ensuring accuracy and understanding the impact on bookkeeping.
- Processing Client Payments and Remittances: Arrange client payments, process remittances, and ensure proper documentation.
- Supporting Senior Finance Staff: Assist the Finance Director and other senior team members with ad-hoc finance tasks as needed.
- Collaboration with Internal and External Teams: Collaborative working with the in-house finance and legal teams, as well as the company’s external accountants, to ensure smooth financial operations.
- General Finance Administration: Handle general administrative tasks for the finance team, maintaining organisation and supporting daily functions.
- Conducting Due Diligence: Perform basic due diligence on business transactions to support risk management efforts.
- Promoting Professional Standards: Encourage professionalism, accuracy, and probity within finance operations.
- Providing Coverage for Team Members: Step in to cover tasks and responsibilities for finance colleagues during periods of leave.
- Record-Keeping and Compliance: Maintain organised and up-to-date financial records, ensuring compliance with company policies and regulatory requirements.
- Process Improvement: Contribute to the improvement of finance-related tools, systems, and processes, such as automated workflows, reconciliation procedures, and reporting templates.
- Vendor Relations: Communicate with external vendors and stakeholders, managing invoicing enquiries, clarifications, and payment follow-ups as needed.

Qualifications & Skills:
- Strong interest in finance and accounting, with a desire to build skills in the industry
- Excellent numerical skills and attention to detail
- Basic understanding of accounting principles and financial processes
- High level of accuracy, organisation, and ability to manage multiple tasks
- Strong time management skills with the ability to meet tight deadlines
- Prior experience in finance or administration (1–2 years preferred)
- Proficient in financial software or accounting tools (experience with Xero or similar is a plus)
- Effective written and verbal communication skills, with an ability to convey information clearly
- Ability to work well both independently and collaboratively within a team
- Strong analytical skills and judgment, with the ability to think pragmatically and solve problems
